This draft notice explains in plain language how the current website and Contact form handle personal data. It has been prepared technically and editorially and still requires exact owner approval and legal advice where needed.

Who does this notice apply to?

This notice applies to website visitors, people who submit the Contact form, and business contacts communicating about a possible engagement.

It does not describe separate processing for employees, existing customer files, suppliers, or newsletter subscribers.

Which data do we process?

The current Contact form asks only for the data needed to understand and answer a business request.

The hosting and security layer may also process necessary technical request data, such as the IP address, requested page, time, request headers, and security signals. These are not additional Contact-form fields.

Do not submit passwords, medical information, or other sensitive data that is not needed for your request.

Why do we process the data?

We process Contact data only for the current business-communication and security purposes.

  • receiving and assessing a request
  • replying to the person
  • preparing a requested discussion, proposal, or possible engagement
  • protecting the form and services against misuse
  • maintaining technical security and reliability
  • handling a legal claim where necessary

Depending on the context, processing may be necessary to take steps at your request before entering into a possible agreement. For ordinary business communication, security, and abuse prevention, 5A Technologies may rely on legitimate interests where your rights and interests do not override them. A legal obligation or the establishment, exercise, or defence of legal claims applies only where actually relevant.

The required Contact checkbox confirms that you have read this privacy notice and understand why the data is needed to respond. It is not consent to newsletters, marketing, analytics, or every possible use.

Who receives or processes the data?

Only authorised persons within 5A Technologies and the service providers required for the current Contact chain may process the data.

No CRM is currently used for Contact submissions. 5A Technologies does not sell personal data, disclose it publicly, or use it for automated advertising.

International processing and safeguards

Vercel, Resend, Combell, or their relevant subprocessors may process personal data outside the European Economic Area. Where required by the applicable rules, appropriate safeguards must be used, such as contractual data-protection arrangements or standard contractual clauses.

This draft does not claim that every processing operation remains in Belgium or the European Union and does not confirm that a specific DPA has been signed or retained for the current account. 5A Technologies must review and retain current processor terms, subprocessor lists, transfer information, and relevant provider settings.

How long do we retain the data?

For ordinary Contact inquiries and inactive prospects, the maximum is 24 months after the last substantive contact. At least annually, 5A Technologies reviews which messages are no longer needed. An ordinary expired inquiry is removed from the active mailbox; any copy in a later separately authorised CRM must also be removed.

A shorter period applies when the data is no longer needed earlier. A longer period may apply only for an active customer relationship, active proposal or negotiation, performance of an agreement, a statutory accounting or tax obligation, or the establishment, exercise, or defence of legal claims.

The Contact application itself stores no form submission in a database, filesystem, cookie, or browser storage. Email transport and the receiving mailbox are separate external processing and retention layers.

How do we protect the data?

5A Technologies uses appropriate technical and organisational measures for the current website and Contact chain. No internet service can guarantee perfect security.

  • HTTPS and production security headers
  • server-side Contact processing and email transport
  • restricted server-side provider secrets
  • no Contact database, filesystem, or browser-storage persistence in the application
  • no Contact body or raw provider response in normal application logs
  • mailbox access restricted to authorised persons within 5A Technologies
  • validation, origin checks, bounded request body, and abuse controls

Which rights can you exercise?

Subject to the applicable conditions, you may request information, access, rectification, erasure, restriction, objection, and portability. Not every request automatically results in erasure; a legal obligation, agreement, or legal claim may provide an exception.

Send a request to the privacy contact. Where reasonably necessary, 5A Technologies may ask you to verify your identity proportionately. Requests are handled within the applicable legal timeframe.

Where can you submit a complaint?

You may first contact 5A Technologies so that your concern can be reviewed. You retain the right to lodge a complaint with the Belgian Data Protection Authority.

Automated decision-making

Contact submissions are not used for automated individual decision-making or profiling.

Analytics and cookies

Analytics is currently disabled. The current site does not intentionally activate advertising, marketing, or analytics cookies, and Contact data is not sent to analytics.

Necessary technical behaviour of the hosting layer is described only when actually observed. This draft notice does not activate analytics or add a cookie banner.

When will this notice be updated?

This notice must be updated when processing, service providers, or legal requirements change. An update is required before a CRM is introduced or analytics is activated.

No public effective or update date is stated during this local draft phase. That date will be added only after exact owner approval.
